Regional HR Operations Executive

Role Summary

This role supports the ENGIE SEA Human Resources (HR) Division and collaborates with various entities across the ENGIE SEA Cluster, including Singapore, Malaysia, Philippines and China. 

 

Reporting into the Head of Regional HR, ENGIE SEA and supporting the Regional HR teams (both COE and Business HR) for following key HR operational support functions. 

 

Responsibilities 

  • EVP branding support and events such as career fair to assist the achievement of recruitment and DEI KPIs 
  • Assist with centralised payroll shared services for monthly payroll administration and payroll audit requirement 
  • Handle enquiries and assistance on any compensation and benefits related enquiries from staff for leaves, claims etc
  • Assist in the submission of MOM and SNEF surveys that includes quarterly and annual salary, headcount and training data 
  • Verification of bills, claims, purchase order and invoice payment processing and assist in business travel arrangement 
  • In charge of staff onboarding and orientation, including reporting email, buddy arrangement and completion of mandatory trainings
  • Logistical support for major learning events, monthly Learn@Lunch, training setup and reporting, People & Planet Recreation Club etc. 
  • Update and maintain internal HRIS system in an accurate and timely manner 
  • Support staff movement, reorganisation and restructuring for both internal organisation as well as M&A and/or JV setup
  • Maintenance of HR Sharepoint Page and HR Shared Folders 
  • Data cleaning and organisation, HR data analytics etc 
  • Assist in preparation of data and reports for Group reporting purposes 
  • Support HR events such as Career Day, Onboarding Day, Fruits Day, Staff Town hall, Learning Days, Festive and staff engagament events

 

    Requirements

    • Degree/Diploma in Human Resources, Business Management or equivalent 
    • 2-5 years of relevant working experience in HR and knowledge of HR local employment law & practices will be advantageous 
    • Independent, self-motivated and keen in learning for grow and development of career in HR, locally and regionally
    • Goal getting, driven, committed, with strong planning and execution capabilities
    • Excellent problem-solving, organizational, analytical and critical thinking skills

    About the role:

    As a DEI Partner at ENGIE UK, you will be instrumental in driving our DEI strategy and initiatives across ENGIE.     Key Responsibilities

    • Collect and analyse data related to our DE&I efforts, helping us track progress and measure the impact of our initiatives.
    • Project management: Manage various DE&I projects from start to finish, providing an opportunity to enhance your project management skills and experience.
    • Communication and engagement outreach: Support the communication and engagement plans for our DE&I initiatives to employees and stakeholders across ENGIE UK. This could involve writing content for our intranet, creating presentations, or participating in internal and external events.
    • Engage with external organisation and communities to promote ENGIE UK’s DEI efforts and build on partnerships

     

    Key Requirements

     

     

    • Proven experience in a DEI-focused role, preferably within a large organisation.
    • Strong knowledge of diversity, equity, and inclusion principles and best practices.
    • Excellent communication and interpersonal skills, with the ability to influence and engage stakeholders at all levels.
    • Experience in developing and delivering DEI training and programs.
    • Ability to analyse data and metrics to assess the effectiveness of DEI initiatives.
    • Strong project management skills, with the ability to manage multiple priorities and deadlines.

    JOB PURPOSE:

     

    The Head of Business Support & People Manager plays a pivotal role in defining the strategy for the departments under oversight (HR, administrative & business support functions, Environmental-Social-Corporate Governance (“ESG”), ethics and communications), translating the strategy into clear action plans, ensuring compliance with internal/external regulations.

    • Lead, manage & direct day – to – day HR & Business Support activities

    Context :

    Under the authority of the Head of Human Resources / EC HR Leader, the Head of People Experience - Digital & Operations works within the HR Expertise Center (EC) of GEMS unit and will be in charge of defining the HR Digital & data strategy, ensuring the business continuity of HR operations and enhancing the Employee experience by leveraging HRIS platforms to streamline HR processes.

     

    Role :

    You will play a significant role in the HR Expertise Center of GEMS unit by leading a team of 6 people between Paris and Brussels in charge of HR solutions, data and operations supervision.

    This role ensures the seamless integration of digital HR solutions, efficient and accurate HR operations, while maintaining compliance with regulatory requirements and enhancing the employee experience. Your responsibilities will fall into two core missions:    

     

    Accelerate the HR Digital & Data Transformation:  

     

    - Defining and implementing the HR Digital & data strategy, governance in alignment with the business objectives and the IS standards

    - Leading the HR IS team and ensuring the delivery and supervision of HR solutions portfolio (Sezame and Beqom) for Recruitment, Performance Management, Talent, Compensation & Benefits processes

    - Acting as Data Owner for HR data domain: managing the HR data lifecycle, from sourcing to reporting, and ensuring the data quality, integrity, security, and compliance in all HR processes

    - Driving advanced people analytics such as PowerBI dashboards, reports and fostering a data-driven culture within the HR function 

    - Driving HR digital transformation projects to enhance HR service delivery and employee engagement and satisfaction, and exploring and implementing new initiatives to foster the digitalization of the HR function

     

    Secure and optimize HR Operations 

     

    - Supervising HR operations (Employee lifecycle: onboarding, mobilities and offboarding) for France & Belgium to ensure efficient and effective HR services

    - Developing and monitoring HR operational metrics, ensuring the delivery of HR regulatory reporting’s (Group social reporting, social auditing, etc.…) 

    - Overseeing the implementation of payroll operations implemented by GBS (Global Business Services) for GEMS France & Belgium, streamlining HR processes and workflows

     

    For all these missions, you will need to

    • regularly coordinate with the local HR teams to ensure consistency in the deployment of each campaign, initiatives, and topics across all GEMS Countries.
    • ensure HR digital & operations practices and policies comply with relevant laws and regulations.
    • stay updated on legislatives changes impacting the function.

     

    As Manager, it is key in this role to provide guidance and support, to foster a culture of continuous improvement and innovation within the teams and to identify and address training and development needs for team members.

    • Communication Skills: adequate gravitas and influencing skills to interact with business leaders and employees at all levels.

    • Data literacy: ability to use data, metrics and evidence to drive decision-making and change.

    • Bachelor’s degree in labour relations, human resources, business administration or related field plus postgraduate studies.

    • SAP advanced user.

    • Spanish native speaker plus English C1 level.
