Sales Operations Structuring Manager

ROLE SUMMARY:

The Sales Operations Structuring Manager provides a vital role in Sales Operations team.  They will manage Facility Deal Structuring, Contract Statement of Work Redline Reviews, and inbound tasks to Sales Operations for clarity and appropriate assignment.  This individual will also be expected to function as project manager on critical opportunities as identified and finally will proactively support the review and update of contract service statements of work and proposal scopes.

 

This individual will work with Sales, Delivery, Business Solutions Directors, Pricing, Legal, RFP team, Product Management and others in our organization. 

 

PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES:

The Sales Operations Structuring Manager will work with all client segments and multiple business units across the organization.  They are expected to provide project management on large or critical sales opportunities, ensure any opportunity tasks submitted are complete and will assign out as appropriate, they will manage the Statement of Work (SOW) redline review process internally and occasionally with clients, and will ensure any custom scoping provided for inclusion in proposals or contracts meets approval with appropriate delivery teams.

 

Deal Project Management (20%)

  • Provide project management for large ($400K+) / critical opportunities through the pricing, proposal, redline reviews and delivery assurance process.
  • Develop and manage those project teams which may include both internal and external resources and business partners coordinating and integrating project activities across operational and functional business lines.
  • Define and manage deal risks, contingencies and risk mitigation strategies.
  • Identify business stakeholders and effectively communicate project status, activities, etc. - both verbal and written.

Manage weekly Facility Deal Structuring Call: own agenda, notes, and action items (20%)

  • Facilitate follow up meetings with internal team(s) to resolve action items.
  • Facilitate one-off Facility Deal Structuring Call(s) as needed.

Direct the SOW redline review process for assigned deals both internally and externally, ensuring all pricing items are reviewed and approved by pricing via approval process.  Will also work with delivery to provide appropriate counters or acceptance of client redlines via SOW approval process (25%)

Responsible for management of the Sales Operations inbox and assign readied deals to appropriate owner.  Ensure all required components are included in the Opportunity and task for pricing / legal / proposal / redline review prior to tasking incoming requests to appropriate team. (25%)

Proactively manage the creation and validation of custom and standard scopes for services. (10%)

  • Custom Scopes will be managed as defined in the Facility
  • Deal Structuring Process.
  • Standard scopes should be proactively reviewed with appropriate stakeholders to ensure SOWs remain valid and align with service delivered.

Decision authority: 

The Sales Operations Structuring Manager will have the authority to send tasking back to sales requesting additional information if identified criteria are not met such that pricing / legal / proposal / redline review cannot be appropriately completed based on the initial task submitted

 

The Sales Operations Structuring Manager will defer to Senior Manager Sales Operations for guidance on items as necessary.

 

 

Education/Certification/Knowledge:

  • Bachelor’s degree in business, marketing or equivalent business experience.
  • MBA and or PMP a plus

Experience: 

  • 5 years minimum project management, sales support, contract review or combination thereof.

 

Skills/Abilities:

  • Ability to successfully multi task on numerous open items.
  • Experience with process improvement best practices
  • Superior project management and strong financial acumen

The pay range for this role is: $70,000-$106,000. 

 

Pay range is based on several factors and may vary in addition to a full range of medical, financial, and/or other benefits. Final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with geographical market data.   • Monitor changes to carbon calculation protocols to provide recommendations on enhancements and best practices applicable to our internal processes and systems.

Experience:

  • Minimum 2 years of experience working on climate change issues, preferably within a consulting environment; advanced degree(s) in the industry considered towards experience.
  • Proven technical expertise in GHG quantification and accounting (utilizing The Climate Registry, WRI/WBCSD GHG Protocol, and/or ISO 14064.3; other accounting standards also helpful) and an understanding of climate change regulations, policies, and actions.

Within a rapidly growing team, we are looking for a new dynamic and highly motivated colleague to provide transversal support to our Business consultants on the administration of projects and sales operations. You will be based in Düsseldorf but you will be providing transversal support across our different local offices (Brussels, Paris, London, Berlin and Düsseldorf).

More particularly you will be responsible of the following tasks

 

  • Sales Administration
    • Act as a support to the proposal process, including gathering necessary files, commercial administrative components and ensure these proposals are on timeline with all internal sales steps followed
    • Work with proposal bidders, you support to ensure that administrative requirements are fulfilled in the delivery of commercial offers and in the definition of contracts
    • Ensure data in our Salesforce (CRM) system is accurate and up-to-date at all times for all sales opportunities you are supporting
    • Prepare briefings for new business meetings and provide prep support for sales

 

  • Project Administration
    • You support project managers to ensure that project administration is in order. This includes: preparation of mission sheets, follow-up on purchase orders, support in the implementation of project management procedures and best practices (e.g. support definition of latest estimates and verification of project time tracking )
    • Support the onboarding of new clients in close partnership with the client-facing teams to ensure all administrative steps have been completed
    • Work to continuously improve and optimize the administrative process on behalf of our internal teams and clients

 

  • Executive Assistant
    • Provide support to our leadership team, working both on a one-to-one basis with the individual leaders, but also on a wider basis with internal and external clients
    • Acting as the point of contact between the leadership team and internal or external colleagues
    • Organize and prepare calls, meetings, conferences and team events in presence or as virtual meetings
    • Prepare reports, presentations and help with the creation and administration of dashboards
    • Conduct research into specific matters as required and reporting findings
    • Onboarding of new joiners, requesting access, IT material,..
    • Be a member of the EMEA Assistant team with regular meetings on sharing knowledge and support

Background and Experience

  • You have 3 to 5 years of experience in administrative support in sales or business development or project management.
  • You have previous experience working within an international business context
  • Nice to have: A Business Management or Bachelor’s degree

 

Communication, interpersonal and problem solving skills

  • You are a team player and are recognized for your interpersonal skills and your ability to work collaboratively in a multicultural team environment
  • You have a strong organization and prioritization skills, are attentive to details and are comfortable in multi-tasking

Summary

 

The Client Development Executive (CDE) is a key member of the EMEA sales team. Reporting to the Director, Global Client Development.

 

The CDE will work closely with Sector Leads, MDs/Ds, often acting as the first of point of contact during prospect engagement, articulating appropriate Carbon & Data Management and Decarbonisation Solutions, while delivering best in class services.

 

Global Client Development is a growing team. It is therefore imperative that this Client Developer acts as an integral part of the team, contributing to Top of the Funnel process to successfully develop high level Sales Qualified Opportunities.

 

Focusing on ways to optimize and ensure relevance to the target audience, outreaching to C level and other key stakeholders and high level decision making personas, sharing insights with other CDs, Global Market Development and business teams as appropriate, to ultimately accelerate client pipeline engagements, reduce  the consulting sales cycles and being an active participant in driving opportunities.

 

 

Job Description

 

As a Client Development Executive (CDE), you will be responsible of the following tasks:

 

  • A CDE is tasked with delivering Sales Qualified Meetings (SQM)
  • Role is designed to be a 70/30 split: 70% new business outreach and 30% Enterprise Account prospecting / Account Development into specified accounts as directed by the Director, Global Client Development and the Sector Leads, MDs/Ds
  • Work closely with Marketing to align on strategic campaigns to deploy within strategic outreach
  • Ensure timely follow-up on all Marketing-Generated Leads (MQLs) and campaign outreach
  • Solicit ongoing Sales feedback regarding meeting quality and opportunity creation potential, mostly in post call debriefs
  • Participate in relevant monthly territory calls between Client Development and Sales
  • Achieve KPIs as directed by the Director, Global Client Development
  • Participate in training and other group wide events as required
  • Collaborate with colleagues and lead internal meetings as required
  • Ensure Salesforce process is adhered to and updated daily with relevant CDE sales data, meeting notes, NDA’s and other client relevant material
  • Work closely with Sales Operations and Sales Enablement teams
  • Adhere to an Omni-Channel selling approach, leveraging Account Based Targeting strategies to improve sales velocity
  • Forecast individual sales targets pinpointing areas of improvement and of challenge
  • Develop on-going personal plans in the advancement of sales and account management skills
  • Keep updated with EMEAI Sustainability news and sector challenges. Share these with colleagues in weekly Team meetings

Job Description

  • Business performance monitoring: contribute to monthly closings, prepare monthly and yearly Business Reviews with Business Controllers, highlight key elements affecting project portfolio performance, identify risks and opportunities identify risks and opportunities and advise management accordingly.
  • Project performance monitoring: update estimates at completion of contract portfolio, compare actuals vs contractual estimates and best estimates, focus on predictability and identify main factors affecting profitability, challenge evolution of actual and forecasted gross margin compared to initial budget, train and guide Project Leaders on financial matters.
  • Invoicing management: manage productive projects invoicing and dunning, including accruals and deferred income calculation, in close coordination with Project Leaders in order to improve WCR and cash collection.
  • ERP implementation support: contribute to the ERP implementation project (SAP S/4HANA), ensure integration and adoption of Business and Finance processes for whole project life cycle with the support of IT Experts, Business and Finance stakeholders.
  • Pricing: provide feedback on project performance analysis to business stakeholders and finance community to ensure new contracts and associated financial models will lead to a healthy long-term value creation

Education/Experience:

SUMMARY:

Key member of the Global Finance Services team providing insight and analysis of financial data and interacting with financial systems to improve the efficiency and accuracy of the reporting process.

QUALIFICATIONS

 

Education/Certification/Knowledge
